WhatsApp Business App vs API

Quick answer

  • Choose the App if one person, or a few, answer chats from a phone and you need no CRM sync or automation. It is free to download.
  • Choose the API (officially the WhatsApp Business Platform) when several people share one number, chats slip through handoffs, or you need CRM integration, automation, or reports. Meta charges per delivered message, and providers usually add a software fee.
  • You may not have to choose: some providers support coexistence, running one number on both.
WhatsApp Business App vs WhatsApp Business Platform: one phone with linked devices versus a shared inbox with multiple agents, CRM, automations and reports

The App and the API at a glance.

What Is the WhatsApp Business App?

The WhatsApp Business App is a free mobile app that lets a business chat with customers from one phone number. It adds a business profile, catalogue, labels, quick replies, and greeting and away messages. Everything is handled by hand, with no built-in CRM connection. It suits a shop, consultant, or service business whose small team can keep up with enquiries.

What Is the WhatsApp Business API?

The WhatsApp Business API, officially the WhatsApp Business Platform, lets a business send and receive WhatsApp messages through software instead of a phone app. There is nothing to download. Most businesses use a provider that supplies a shared inbox, automation, CRM integrations, and reporting. Business-initiated conversations start with Meta-approved templates, and free-form replies are allowed within 24 hours of a customer’s message.

  • Devices are not users. The App allows one primary phone plus four linked devices. In India, Meta Verified plans raise that to as many as 10 on the top tier, but still with no roles or shared queue. See WhatsApp’s linked-device guidance.
  • Automation needs software. The API only moves messages; workflows such as order confirmations or lead routing live in the connected platform.
  • Permission rules apply to both. Businesses need consent to contact people and must honour opt-outs.

WhatsApp Business API Pricing in 2026

Meta bills per delivered message by category (marketing, utility, authentication, service) and recipient country. Messages customers send you are free. Since October 1, 2026, service replies are free for the first 1,000 per number each month, then charged; utility templates inside the 24-hour window are charged too. Meta reportedly stops delivering service messages if no payment method is on file (Business Standard).

One free route: if a customer messages you from a click-to-WhatsApp ad and you reply within 24 hours, Meta’s free entry-point window opens. Since September 28, 2026, it can last up to seven days (previously 72 hours).

India example: one number sends 5,000 service replies, 3,000 utility templates, and 2,000 marketing messages. Meta bills ₹2,531.20, about ₹2,987 with 18% GST. Provider fees come on top, so confirm rates on Meta’s rate card.

Which Should You Choose?

Decision guide: move to the WhatsApp Business Platform if more than 4–5 people reply, handoffs miss enquiries, or you need CRM sync or automation; otherwise stay with the App

A quick decision guide.

If none of these applies yet, the extra setup and per-message costs are hard to justify. To switch, audit your chats, compare provider fees with Meta’s rates, check coexistence eligibility, get templates approved, and set up routing before you connect the number.

When an Automation Platform Makes Sense

Look beyond the App when enquiries sit unanswered, staff retype the same replies, or managers build reports by hand. ChatDesq offers an official Cloud API connection, a shared inbox, Meta-approved broadcasts, no-code automations, and coexistence for eligible numbers. Frequently Asked Questions

Is the WhatsApp Business API free?

No, though some messages are. Customer messages and the first 1,000 service replies per number each month are free, as are messages in a free entry-point window. In India, marketing costs ₹0.8631 and utility, authentication, or extra service messages cost ₹0.1150, plus 18% GST and provider fees.

How many people can use the Business App?

One primary phone plus up to four linked devices. Paid Meta Verified plans can raise this to as many as 10, depending on country and plan.

Can small businesses use the API?

Yes, if they need a shared inbox, integrations, or automation. Weigh setup and ongoing costs against those benefits.

Can the App and API share a number?

Some providers support coexistence for eligible numbers. Availability and what syncs vary, so confirm requirements first.

Do I need a provider?

Most businesses do, because the API has no interface of its own. Developers can build one, which takes engineering time.
